About this role

This is an excellent opportunity for a talented individual with strong administrative, planning, computer and organizational skills. You are willing to go the extra mile to meet or exceed customer expectations.

As a Legal Administrative Assistant youll be providing primary legal and administrative support to Legal Attorneys and Legal Analysts as needed. You will complete all of this while maintaining a high level of confidentiality surrounding sensitive information and data. You will be providing backup legal and administrative support to additional members of the Law Business Unit in Houston, TX.

Theres a major scheduling component to this role, such as organizing the overall calendar for events, and travel preparations. You will be preparing complex international and domestic travel itineraries and ground transportation logistics such as travel related documents preparation. This may require researching background information before a trip, and will definitely entail handling detailed expense claims afterwards.

Youll be handling all administrative assistant responsibilities for assigned attorneys and legal analysts, preparing pre-read documents, creating presentations, editing documents, revising contracts, updating matters in the matter management system, setting up new vendors, processing invoices, preparing correspondence, etc. You wont get bored here!

With your strong eye for detail, you will be involved in proof-reading, checking documents adhere to company standards.

Duties

  • Coordinating domestic and international travel logistics with detailed itineraries
  • Setting up and maintaining files, processing invoices, setting up vendors in a payment system, e-billing and matter management
  • Maintaining effective communications with peers, attorneys, managers and leaders
  • Providing back-up/relief to other legal assistants as needed

Your experience has given you use good judgment in making sound decisions quickly. Youll apply your experience here as youll have independence in this role, and will need to resolve problems yourself.

In your role you will discreetly and routinely handle confidential information. You must remain tactful and professional while dealing with the information and in general with all situations.

You must mention these on your resume

  • High School Diploma/GED or equivalent
  • 8-10 years secretarial and administrative experience within an Enterprise or corporate environment required
  • Strong Proficiency in MS office applications: Outlook, Word, PowerPoint, Excel required. Experience with SharePoint and SharePoint Online are highly desirable.

If you can mention strong secretarial and administrative experience (ideally, within a law firm or in-house legal department) plus experience planning domestic and international travel you'll go to the top of the list.
